Book equipment, vehicles and facilities: Apoing is not just for sport
Do you need to organize the shared use of equipment, vehicles or rooms in your company, lab or center?
Do bookings overlap, or do you track everything with a spreadsheet or a WhatsApp group?
Although Apoing started as a booking system for sports facilities, it is really a tool to book and manage any shared resource. Many organizations already use it to control the use of lab equipment, pressure chambers, drones, measuring instruments, company vehicles and rooms, with the same guarantees: no overlapping bookings, usage history and automatic reminders.
Best of all: it's free for both the administrator and the users.
Booking shared equipment and gear
If your organization has expensive or limited equipment that several people need to use —pressure chambers, drones, microscopes, field instruments, specialized tools— Apoing lets you create a calendar for each item. Each user books the slot they need, and the system prevents two people from taking the same equipment at once. You can limit how many bookings each person makes and see who has what at any time.
Vehicle fleet management
For companies or departments that share cars, vans or work vehicles, Apoing works as a fleet booking board: each vehicle is a calendar, employees book the one they need and usage is logged. No more "missing" keys or double bookings.
Room and space booking
Meeting rooms, classrooms, labs, coworking spaces… Any shared space can be managed with Apoing. Users see the week's availability and book with a click, from their phone or computer.
Why Apoing and not a spreadsheet?
- No overlaps: the system prevents two bookings from clashing on the same resource and slot.
- Usage rules: booking limits per user, how far in advance you can book, capacity control and penalties for fair sharing.
- From any device, 24/7: web and mobile app, available all year.
- Automatic reminders: email reminder on the day of the booking.
- History and traceability: who used each resource and when.
- Optional access control: with the Apoing API you can connect doors, lockers or lights to the booking system.
How to get started?
Setting up your space in Apoing takes minutes. Follow the guide: How to create your community in Apoing. Each "community" can have as many calendars as resources you want to manage (one calendar per piece of equipment, vehicle or room). If you have many users, you can import them all at once from an Excel file.
🔑 Automate access to your facilities
With the Apoing API you can connect doors, equipment lockers, barriers or lights to the booking system: access is enabled only when there is an active booking. Compatible with Shelly, Sonoff, ESP32 and Raspberry Pi. See technical documentation →
Frequently asked questions
Can Apoing book things that aren't sports courts?
Yes. Although the system uses terms like "court" or "calendar", it works to book any shared resource: lab equipment, vehicles, rooms, instruments, drones, etc. Each resource is set up as an independent calendar with its own schedule and rules.
Can I manage several pieces of equipment or vehicles at once?
Yes. You can create as many calendars as resources you need, each with its own availability and conditions. A single space can group, for example, all of a department's vehicles or all of a lab's equipment.
How do I prevent two people from booking the same equipment at once?
The system automatically blocks already-booked slots: a resource can only have one booking per time slot. You can also limit how many active bookings each user has to share usage fairly.
Does it cost anything for a company or a center?
Using the booking system is free. Only optional advanced features, such as integrating access-control hardware through the API, are paid.
Can users book from their phone?
Yes. Apoing has an app for Android and iOS and also works from the browser. Any user can check availability and book from anywhere. See how to book from mobile.
