What is Apoing? Free booking management for shared facilities Apoing is a free web application for managing shared facility booking calendars. With Apoing, you can optimize your facility usage, create your community, and manage as many calendars as you need — at no cost. How does it work? Any community member can make bookings from any internet-connected device, 24 hours a day, 365 days a year. On the day of the booking, the user will receive an email reminder automatically. What can a user do? Join communities: To book in a community's calendars, you need to be a member. Joining is as simple as searching for the community and sending a join request. Depending on the configuration, it may require admin approval. Accept invitations: Communities can send membership invitations to their members. As a user, you can accept or decline them from your notifications panel. Make bookings: From a simple and intuitive calendar, users can see available slots and book by tapping on the desired time. Cancel bookings: Cancelling a booking is just as easy as making one — simply tap on your reserved slot. View booking history: All users have access to their full history of past bookings. Receive email reminders: The system automatically sends an email reminder on the day of each booking so you never miss a slot. Book from your smartphone: The web app is fully optimised for mobile devices, making it easy to book from anywhere. Full control for the administrator The system prevents users from bypassing the booking rules. Administrators have a comprehensive set of tools: Create and manage communities: No limit on the number of communities. Manage clubs, residential complexes, sports centres or any type of shared space. Configure access to the community: Choose from three access modes: Open: any Apoing user can join and book without prior approval. By request: users submit a join request that the admin must approve. By invitation: only users who receive an email invitation can join. Require an identification code: The community can ask members to provide a code when joining (membership number, flat/door number, ID…). This code identifies bookings on the calendar and allows multiple users with the same code — for example, members of the same household — to share the same booking limits. Create and edit booking calendars: No limit on calendars per community. Manage sports courts, multipurpose rooms, swimming pools, gyms, and any shared space. Configure schedules and booking durations: Each calendar has its own independent schedule with configurable time slot durations, with simple and advanced schedule options for more complex needs. Limit weekly bookings: Set a maximum number of weekly bookings per user or per booking code. Prevent multiple open bookings: Enable a control so that a user cannot have more than one future pending booking at a time. Invite users by email: Send invitations to anyone, whether or not they are already an Apoing user, simply by providing their email address. Manage users: Enable, disable or remove users. A disabled user cannot make bookings in any of the community's calendars. Create posts: Share news, notices or announcements with all members via the community's private feed. Organise tournaments: Create bookings on behalf of the community to manage tournaments or other special events. Who can create a community? Anyone who has a facility they want to manage — with neighbours, club members or friends — can create a community on Apoing, set up the necessary calendars and manage everything completely free of charge.
